How it works

Three steps. Leave the tedious work to us.

1

Bring your meeting to Verbale

Upload an audio or video file, paste a direct recording link, or record live with the desktop app: Zoom, Meet, Teams, Discord, or any other program.

2

AI transcribes and identifies speakers

One language or several in the same meeting, even within a sentence: choose the mode and start transcription. You can also ask the AI to identify speakers.

3

Choose the language of your minutes

Generate a summary in your preferred language, with decisions, actions, and open questions. Download the minutes and transcript as PDF, Word, Markdown, or text.

Multilingual meetings

Switch languages. Even mid-sentence.

A colleague speaks English, you reply in Italian, then the conversation switches to German. In Multilingual mode, Verbale transcribes language changes within the same recording. For international teams, overseas clients, and bilingual assemblies.

Several languages, one recording

Each participant can speak their own language or switch during their turn. Upload the meeting and select Multilingual: there is no need to split files by language.

Even within a sentence

“We confirm the launch in June, e domani invieremo la proposta finale.” Multilingual mode also handles these switches, without choosing just one language for the entire meeting.

The summary, in the language you choose

A meeting in several languages can become minutes in Italian, English, Spanish, or German. Choose the language before generating the summary, based on who will read it.

Speaker identification

Who said what, without guessing.

In a meeting, who says something matters too. Enable speaker recognition and assign names to voices for an attributed transcript.

Voices are separated automatically

AI automatically separates the voices in the recording. Similar voices, noise and overlapping speech can cause errors: check the result.

Listen to a sample and add a name

For each voice, listen to a few seconds of audio, recognize the person, and assign their real name. ‘Voice 1’ becomes ‘Marco’.

Every contribution has a speaker

The transcript shows assigned speaker names and timestamps. The minutes summarize decisions and actions; always check attributions before sharing.

Included in every plan, at no additional cost and without consuming extra minutes.

For meetings with many participants, such as council sessions, contact info@verbale.ai to discuss your requirements.

Minutes: Project meeting — Assembly management platform

Overview

Operational meeting to present the new shareholder meeting management platform: agenda setup, timed speaking slots, voting workflows (open and electronic), automatic reports and integration with the document management system. The technical team demonstrated the features already available; some approval workflows and integration with the shareholder portal still need to be defined.

Key points 8

  • Agenda management: editable items, drag-and-drop ordering and resolutions linked to individual items
  • Speaking timer: time allocated per delegation, rather than per shareholder; countdown on the room display with automatic microphone shutoff
  • Resolution types: electronic open voting and secret ballots via voting devices; dedicated ballot for appointments
  • Quorum and majorities: automatic calculation (simple majority of those present, qualified majority of those entitled to vote), with custom thresholds
  • Chair's dashboard: dedicated tablet with speaker list, voting status and a button to suspend proceedings
  • Publishing resolutions: automatic signed PDF export and submission to the company register via API; full-text indexing of contributions
  • Reporting: three minutes templates (brief, detailed and per resolution), with support for CAdES digital signatures
  • Room displays: independent configuration of four video outputs — text view, seating chart and voting results

Decisions 7

  • Use ‘Agenda items’ instead of ‘Topics for discussion’ throughout the interface
  • Support both open electronic voting and secret ballots; for secret ballots, display only the final total
  • Add all required majority thresholds (simple, absolute, two-thirds) and let the client configure them
  • On-premises installation with an architecture isolated from the public network, as specified in the contract
  • The speaker list prepared by the secretariat can be printed, signed and attached as a PDF to the agenda item
  • The chair and the two deputy chairs will each have a dedicated tablet to run proceedings
  • Executive committee members may participate in the debate but cannot vote: the system will automatically exclude them from the count

Actions 4

  • Dr Ferretti (Corporate Affairs): Draw up the final list of majorities and their labels for the system
  • Marco (Technical Lead): Prepare the staging environment by 15 April for tests with real users
  • Giulia (PM): Schedule an acceptance testing session with the secretariat and send invitations by Friday
  • Engineer Parisi: Check that the room's network infrastructure meets the platform's requirements

Open questions 5

  • Automatic second round when the first vote falls short of the qualified majority: define the exact rule
  • Counting appointments that require list voting: validating multiple preferences needs custom development
  • Digital signatures and approval workflows for minutes: timing and specifications for integration with the document system
  • Remote voting for shareholders joining online: technically feasible, but requires a board resolution
  • Location of additional workstations (committee room and private room): confirm the floor plan before work starts

The conversation, speaker by speaker

Marco 00:01:12

Let's start with the agenda structure. This is where you add the items for discussion; you can reorder them by dragging. The column on the right shows the session title and the meeting date.

Dr Ferretti 00:01:48

Sorry, one clarification. Internally we call them ‘agenda items’, not ‘topics’. Can we change the wording?

Marco 00:02:03

Absolutely, it's a configurable field. Giulia, could you update it now?

Giulia 00:02:11

Done, I've updated the label. Now let's move on to voting, which I think is the heart of the system.

Dr Ferretti 00:02:35

Yes, let's get into it. We have two types: open voting, where you can see who voted for what, and secret ballots, where only the final result should appear. The majority rules are a little more involved…

Marco 00:03:42

Perfect. We can create all the majority types you need, and the system calculates them automatically based on the number of eligible voters…

Frequently asked questions

Everything you need to know.

How does Verbale.ai work?

Upload a meeting's audio or video file, or paste a direct link to an online recording. AI transcribes it, optionally identifies speakers and creates minutes with decisions, actions and open questions. Download the minutes and transcript separately as PDF, Word, Markdown or text. You can also download the audio.

Can the system identify who is speaking?

Yes, when you enable speaker recognition. Listen to a short sample of each voice and assign the real name. The transcript shows names and speaking times; the minutes use this information to summarize the meeting.

Speaker separation is automatic and may make mistakes, especially with similar voices or overlapping speech. The same person may appear as two speakers. Check the assignments before generating the minutes.

For meetings with many participants, such as council sessions, contact info@verbale.ai to discuss your requirements.

What happens when I delete a meeting?

The meeting is no longer visible in your account. Physical deletion of files and data from the systems is a separate administrative process: the app button does not guarantee immediate removal of every copy. For erasure requests, write to info@verbale.ai.

How are audio and transcripts processed?

Transcription and speaker recognition use models we operate on external providers' cloud infrastructure. To generate summaries, the transcript text — not the audio — is sent to a language model service. The privacy policy describes the providers and how data is processed.

Can I record Zoom, Meet, Teams or Discord directly?

Yes, with the desktop app for Windows and Linux. It records your computer audio and, optionally, your microphone, so it works with Zoom, Meet, Teams, Discord and any other application. If you can hear it on your PC, you can transcribe it.

The recording stays on your computer and is uploaded only when you click ‘Send to Verbale.ai’. Download the app from the ‘Desktop app’ section of your account dashboard.

Can I import a recording from a link?

Yes: paste a direct link to an audio or video file and Verbale.ai will download and process it. To record meetings from Zoom, Meet or other platforms, use the desktop app and then send the recording.

Which languages are supported?

Transcription supports over 90 languages. For recordings in one language, use automatic detection or specify the language. If several languages are spoken, choose Multilingual. Select the summary language separately: Italian, English, Spanish or German.

Can I transcribe a meeting where people switch languages, even mid-sentence?

Yes. Select Multilingual before starting transcription. Verbale.ai supports language changes between speakers, within a speaking turn and within a sentence. You don't need to split the recording by language. You can then generate a summary in any available summary language, independently of the languages spoken.

What documents do I get?

You get structured minutes — overview, key points, decisions, actions with owners and open questions — and a full transcript with speaker names when assigned. Download them separately as PDF, Word, Markdown or text. You can also download the plain transcript text and the meeting audio.

Your meetings deserve more than scattered notes.
